A reminder schedule that works
- 3 days before the due date: a friendly heads-up with the invoice attached.
- 1–3 days after: "just checking this didn't get lost", resend the invoice.
- 7–14 days after: send this past due invoice, marked PAST DUE, with any agreed late fee.
- 30+ days after: a firm final notice that states what happens next (pausing work, collections, small claims).
Keep it factual
Reference the original invoice number and due date, state the amount outstanding and how to pay. Avoid emotional language: most late payments are caused by busy people and lost emails, not bad intent.
Only add a late fee if it was agreed in advance (in your contract or original invoice terms) and is within your state's limits.
Frequently asked questions
Should I create a new invoice number?
Either works. Many people resend the original invoice with a PAST DUE note. If you add a late fee, a new invoice that references the original number keeps your records clear.
How much late fee can I charge?
Commonly 1–1.5% per month, but only if agreed beforehand. Some states cap interest on late payments; check before you charge.
Is InvoiceCrisp really free?
Yes. You can create and download unlimited invoices, estimates and receipts for free, with no sign-up. The free version uses the Classic template and adds a small "Created with InvoiceCrisp" line at the bottom. Pro removes it and adds more templates, saved clients and history.
