What a donation receipt should include
The notes field above is pre-filled with the standard "no goods or services" wording. Replace the placeholders with your organization's details.
- Your organization's legal name and EIN, and that it is a 501(c)(3) (or other qualified) organization
- The donor's name
- The date and amount of a cash gift, or a description (not a value) of donated property
- A statement that no goods or services were provided, or a description and good-faith estimate of their value if they were
When the IRS requires one
This is general information based on IRS Publication 1771, not tax advice. Check the publication or a tax professional for your situation.
- Single gifts of $250 or more: the donor needs a written acknowledgment from you to claim the deduction.
- Quid pro quo payments over $75 (for example a gala ticket): you must tell the donor how much is deductible.
- Smaller gifts: a receipt is not required by the IRS, but donors appreciate it and it keeps your records clean.
Year-end statements
For monthly donors, one receipt in January listing every gift of the past year (one line per month) satisfies most donors and saves you eleven emails.
Frequently asked questions
Is a donation receipt the same as a sales receipt?
No. A donation receipt acknowledges a gift and states whether anything was given in return. It does not include sales tax.
Should the receipt state the value of donated items?
No. For non-cash gifts, describe the items (for example "3 bags of clothing"). Valuing them is the donor's responsibility.

Yes. You can create and download unlimited invoices, estimates and receipts for free, with no sign-up. The free version uses the Classic template and adds a small "Created with InvoiceCrisp" line at the bottom. Pro removes it and adds more templates, saved clients and history.
